General Tour Terms and Conditions Services provided


Intraworld Travel Systems organizes ITS, promotes and sells tour programs consisting of certain travel services explained in more detail in this document and individual tour itineraries. We offer our tours and programs to groups in sizes of ten (10 persons) and above. Customized groups falling below 10 people will attract a surcharge. We facilitate tours throughout Africa; however, we currently specialize in certain countries in the following regions: WEST AFRICA; Nigeria, Benin, Togo, Ghana, Burkina Faso, Ivory Coast, Gambia, Mali and Senegal. SOUTHERN AFRICA; Namibia, Botswana, Zimbabwe, South Africa and Zambia. EAST AFRICA; Tanzania, Uganda, Kenya, Ethiopia and Egypt. ITS executes group travel by negotiating the best prices with our suppliers and planning details of the tour and taking care of all logistics required for a successful tour. Note: Our tours are not limited to AFRICA only. We also promote tours to other continents.


Our desire is to provide you with affordable tour packages, without compromising on services, getting you involved in as much sightseeing and activities without subjecting you to fatigue and above all putting together a team of pleasant and hospitable in-country language-speaking professional land operators to take care of your needs throughout your tour itinerary. We use experienced service providers and suppliers in both the United States and Africa which enables us to design educational, cultural, religious, vacation, conference and other customized tours to meet our client’s highest expectations at very competitive prices.

Reservation and Payment
A deposit of $300.00 per person, paid in U.S. currency, is required when making reservations for a tour. Fifty percent of (50%) the total balance must be paid within 90 days of departure, and the total balance must be paid within 45 days of departure, unless otherwise specified. NOTE: Your customized tour may have its own payment plan. People traveling alone may request ITS to match them with another person wishing to share a room. We will endeavor to honor those requests. However, we cannot guarantee that we will be successful, in which case the single occupancy rate will be charged. Those requesting accommodation other than single, must have the name of your roommate listed on the same tour registration form. Those who are traveling single should list themselves or check the appropriate space if requesting to share a room. Accommodation of more than 2 people per room is only allowed when children aged 18 and under are involved

Cashier’s checks, money orders or personal checks are the preferred method of payment. If paying by personal check, payment must be received at least five (5) working days before deadlines to ensure bank clearance. Reservations of people paying by checks that have not cleared by deadline dates may not be honored. Visa, Mastercard, American Express or discover cards are accepted with a 4% surcharge to cover processing. Submitting the reservation form and deposits certifies that all the people listed have agreed in advance to share accommodation. ITS will not attempt to match roommates, beyond persons who request to share a room.

Refunds and Cancellations
All paid deposits and fees are refundable, LESS the $300.00 deposit, if cancellation is received at least 60 days prior to departure. Cancellations received in less than 45 days are refundable, at 65% of total amount paid, less the $300.00 deposit. Cancellations received in less than 30days are refundable at 45% of the total amount paid, less $300.00. No refunds are made if cancellation occurs less than 15 days prior to departure. NOTE: Groups and other discounted airfares are usually non-refundable. NOTE: Refund Policies differ from airline to airline. All cancellations and requests for refunds must be made in writing and received (not postmarked) by U.S. mail or by email by the deadlines indicated above. Requests for refunds received after deadline dates will not be honored and no refunds are given to people who may elect to leave the tour before it is concluded.
Refund requests are processed within 45 working days if received at least 30 days prior to departure date. If received less than 30 days prior to departure, requests will be processed within 90days.

Inclusions
Prices include round trip air travel between the originating city and the tour destination city plus all other air, ground, rail or sea travel listed in the itinerary, unless otherwise stated in writing. Prices also include transfers between airports and lodging, and admission to all attractions listed in the itinerary. All prices are based on double occupancy, unless otherwise stated in writing.

Exclusions and Responsibility
1. Prices quoted do not include travel to and from your home to the originating tour city, airport departure taxes (if applicable), passports, visas, port taxes (if sea travel is included in the itinerary), required inoculations, food or other incidentals, unless specified in writing.
2. As indicated above, AVP organizes, promotes and sells tour programs consisting of certain travel services, including, but not limited to, air and surface transportation, sightseeing excursions hotel or other lodging accommodations which AVP purchases from various suppliers. Those suppliers are not agents or employees of AVP. To the extent that we are involved in the sale of air or other transportation, we serve as agents of the air carrier or transport provider. For all other purposes, AVP does not act as an agent for any party whatsoever.
3. AVP is not responsible for the willful or negligent acts or omissions of suppliers or of any air carrier or other transport provider or their respective employees, agents, servants or representatives, including, without limitation, their failure to deliver or their partial or inadequate delivery of services. All coupons, receipts and tickets are issued subject to conditions specified by the suppliers or carriers. By utilizing the travel services of suppliers, you agree that AVP or any AVP representatives shall not be liable for any accident, injury, property damage or personal loss to you or those traveling with you in connection with any accommodation, transport, or other travel services, or resulting directly or indirectly from any occurrences or conditions beyond AVP control, including but not limited to, acts of terrorism, war, defects in vehicles, breakdown in equipment, strikes, theft, delay, cancellation of or changes in the itinerary or schedules.
4. AVP reserves the right to increase program prices in the event of cost increases due to changes in airfares, currency fluctuations or fuel charges. We reserve the right to decline, accept or retain any person as a member of the tour without notice. Each client may participate in the activities listed in the itinerary or elect not to do so. Tours, activities or events not listed in the itinerary which a client elects to participate in are undertaken at the client’s personal expense.
5. AVP is not liable for expenses incurred by clients who fail to appear at stated time of departure for tours and/ or scheduled air, sea or land travel.

Addendum
All service providers and vendors have been utilized by AVT previously and have been found to be experienced and reliable. We do not expect problems with the delivery of services or with accommodations related to any tour we sponsor. However, unexpected circumstances and unforeseen problems can arise over which neither AVT, nor our suppliers have control. For this reason, we strongly recommend that all clients purchase Travel insurance which covers cancellation, accidents, loss of luggage, sickness etc. The cost of this insurance varies. _Please click on the link below to select the plan which suits you best.
